Full Job Description
NEON is looking for a highly organized and detail-oriented Theatrical Distribution Coordinator to join our team. This is an ideal role for someone passionate about independent film, theatrical exhibition, and the operational side of getting films in front of audiences. The coordinator will work closely with our distribution, exhibitor relations, and sales teams to ensure the smooth execution of NEON’s theatrical releases nationwide.
Key Responsibilities
Print Traffic & Admin Support
- Monitor and manage Google Form submissions related to print traffic
- Book prints in TDS and add tracking links to ensure timely and accurate shipments
- Check for shipping errors or delays and escalate when needed
- Submit Deluxe and QSM invoices through Stampli (Deluxe invoices are high volume and time-intensive)
- Assist the Theatrical Distribution Team with all day-to-day administrative needs
- Create and maintain internal process documents to support team efficiency
- Handle general department requests as needed
Theatrical Sales & Data
- Use tools like Comscore, TDS, and Box Office Mojo to support sales strategy and analytics
- Create reports for internal use, comparative analysis, and release performance tracking
Receivables & Reporting
- Enter weekly Box Office Reports
- Prepare and send exhibitor statements and follow up on outstanding balances
- Support department leads with tracking and reconciling receivables
Exhibitor Relations & Field Support
- Manage department spreadsheets and team documents across Google Drive
- Own and update Film Team Agendas for regular meetings
- Create research reports and tracking docs for competitive title analysis
- Assist in updating NEON’s website with theatrical playdates and showtimes
- Track showtimes and trailer placements for NEON titles across major DMAs
- Conduct in-theater trailer and film checks, particularly in key cities like NY and LA
- Assist with special screening events and Q&As
- Submit design requests to creative as needed
- Manage internal/external documents that support department-wide organization
Non-Theatrical Licensing Support
- Help manage the non-theatrical email inbox, respond to inquiries, and issue invoices
- Track invoice payments and follow up on overdue balances
- Fill out vendor forms for universities and cultural orgs
- Coordinate delivery of digital film files to non-theatrical partners
Compensation:
This position has a target annual pay range of $65,000 - $70,000. Compensation may vary based on factors including experience, education, and internal equity.
Hybrid: This position has been designated as hybrid, generally contributing from the NYC or LA office a minimum of three days per week. (NY office preferred)

Requirements
What You'll Bring:
- Bachelor’s degree or equivalent experience (film, business, or media-related fields a plus)
- 1–2 years experience in film, entertainment, administrative/internship or adjacent industry roles
- Detail-oriented and highly organized, strong grasp of spreadsheets, tracking tools, and timelines. Crucial for accurate data reporting and timely statement preparation
- Strong proficiency in Google Sheets (Advanced skills: formulas, pivot tables, well‑formatted dashboards)
- Experience working with invoices and vendor systems like Stampli preferred
- Clear communicator who can interface with exhibitors, vendors, and internal teams
- Proactive problem solver — ready to jump in, ask questions, and figure things out
- Passionate about independent film and excited to be part of a fast-moving distribution team
- Able to analyze data, interpret trends, and draw actionable conclusions.
- Excellent problem-solving skills; can think critically and identify bottlenecks and propose effective workflow improvements
- Proficient in Adobe Photoshop (Basic asset editing: cropping, watermarking, prepping files for sharing with exhibitors)
- Film Industry Interest: Passion for independent film and an understanding of theatrical distribution is a plus
Nice to Haves:
- Experience with Comscore, or equivalent reporting platforms
- Familiarity with project management tools (e.g., Airtable)
- Familiarity with box office tools (e.g., Comscore, TDS, Box Office Mojo) a major plus
- Any college coursework or internships in film, media studies, arts administration
